Real estate mail-out templates in Canva: flyers and letters

You can build a professional just sold flyer, just listed flyer or prospecting letter in Canva in under an hour, then send it to the printer as a print-ready PDF. The format that suits most agencies is a double-sided DL flyer (99mm x 210mm) for sold and listed results, plus an A5 letter for direct prospecting.

Lead Fleet has built Canva templates in exactly these formats: a double-sided Just Sold DL flyer, a double-sided Just Listed DL flyer, an A5 prospecting letter and a written letters template. This guide covers how to set them up, what to put on each one and how to avoid the common print mistakes.

Why print still earns its place

Plenty of agencies have moved their whole budget to digital, which means fewer agents are putting something physical in a letterbox. A well-timed flyer from a local agent who just sold down the street is hard to ignore, because it is about a property the reader can see from their own front door.

Print works best as one part of a mix. Digital ads find people who are not yet in your database, and print gives you a second, more personal touch in the suburbs you care about. If you are weighing up where to spend, our post on SEO versus paid ads covers how the digital channels compare.

Which format for which job

Just sold DL flyer

This is the workhorse. It tells neighbours a home has sold, which signals demand in the street, and invites the reader to find out what their own property might achieve. Keep the front for the hero photo, address and a short result line. Use the back for a brief note about the campaign and your contact details.

Just listed DL flyer

Use this to promote a new listing to nearby homeowners, who often know a buyer or are quietly thinking about selling themselves. Show the best photo, the headline features, the inspection times and a QR code to the full listing.

A5 prospecting letter

A5 (148mm x 210mm) gives you room to say something real. This is where you introduce yourself to a specific street or segment, explain why you are writing and make a single, low-pressure offer such as a market update or a short conversation.

Written letters

A plain, personal letter often outperforms a glossy piece when you are writing to someone you already have a reason to contact, such as a past enquirer or a neighbour of a recent sale. Keep it short and signed by a real person.

How to customise a DL flyer in Canva

  1. Get the template file. Sign up for a free Canva account if you do not have one.
  2. Create the right size. In Canva choose Create a design, then Custom size, and enter 99mm x 210mm. Upload the template file through the Uploads tab.
  3. Replace the content. Double-click text to edit it, swap in your own photos and update colours and fonts to match your brand. Add the property or sale details and your contact information.
  4. Check your brand details. Use your logo files, your brand fonts and the same phone number and web address as your website.
  5. Export for print. Download as a PDF suitable for printing, in CMYK with a 3mm bleed. Which print options you see depends on your Canva plan, so confirm what your printer wants first.

If you are new to the platform, our guide to using Canva in real estate covers the basics of brand kits and layouts.

Print setup mistakes that cost money

  • No bleed. If the design runs to the edge of the page, the printer needs extra artwork beyond the trim line, usually 3mm. Without it you can end up with thin white edges.
  • Text too close to the edge. Keep important text and logos at least a few millimetres inside the trim line so nothing is cut off.
  • Low-resolution photos. An image that looks fine on screen can look soft on paper. Use the original high-resolution file from your photographer.
  • Screen colours. Colours can shift between screen and print. Ask the printer for a proof if your brand colour matters.
  • Typos and old details. Read the address, price guide wording and phone number out loud before approving.

Always ask your printer for their artwork specifications and check your first file with them before you commit to a full run.

Make every mail-out measurable

The most common weakness in print is that nobody knows whether it worked. Fix that by giving each piece one clear next step and a way to track it.

  • Add a QR code that links to a specific landing page, such as a market update or seller guide, rather than your home page.
  • Add UTM parameters to that link so your analytics shows which flyer and which suburb drove the visit. Our explainer on UTM tracking shows how.
  • Use a dedicated phone number or a simple reference such as "mention the Smith Street flyer" if you want to track calls.

Give people a reason to scan. A QR code on its own is easy to ignore, but "See what homes on your street have sold for" is a reason.

Checklist before you send

  • One message and one call to action per piece.
  • Photos are high resolution and you have permission to use them.
  • The result or price wording is accurate and complies with your state's rules for advertising property.
  • Contact details match your website and your Google profile.
  • You have checked your print spec with the printer and approved a proof.
  • You have a plan to follow up the people who respond.

Respect "no advertising material" signs on letterboxes and keep your distribution list tidy. Anyone who responds should be added to your database with their consent so you can keep in touch by email or SMS.

Where Lead Fleet can help

Print works best when it connects to the rest of your marketing: a landing page that converts, tracking you can read and a follow-up process for new leads. Our guide to linking to your website is a good place to start if your QR codes currently go to a generic page. Frequently asked questions

What size is a DL flyer?

A DL flyer is 99mm x 210mm, which is a third of an A4 page. It fits in a standard DL envelope and letterbox drops well.

What file should I send to the printer?

A print-ready PDF with bleed, usually 3mm, and in CMYK if your printer requests it. Ask the printer for their artwork spec before you export.

Can I make these in free Canva?

You can build the design on a free account, but some export and print options vary by plan. Check what your plan offers, or ask your printer whether they can convert the file.

How do I track whether a flyer worked?

Use a QR code that links to a dedicated page with UTM parameters, or a unique phone number or reference. Then check your analytics after each drop.
